Feature Settings is the third tab in Organization Settings. Organization Administrators can use this tab to manage feature-related settings for:
- Directory and member profiles
- Meetings
- Microsoft 365 document editing
- Messenger
- Roles & Terms

To open Feature Settings:
- Select Settings in the left navigation.
- Select Feature at the top of the screen.
Demographics and Diversity Reporting
What is Demographics and Diversity Reporting?
OnBoard’s Diversity Reporting settings help organizations decide whether to collect demographic information in member profiles and use diversity reporting in groups.
Demographic information may include details such as date of birth, ethnic background, LGBTQ+ status, veteran status, or disability status.
Diversity Reporting helps organizations review demographic information at the group level.
How Can Administrators Disable Demographics and Diversity Reporting?
If your organization does not want to collect demographic or diversity information, an Organization Administrator can turn off Demographics and Diversity Reporting in Feature Settings.
Turning this setting off will:
- Remove demographic fields from user profiles
- Remove Diversity Reporting from Groups
What Should Administrators Know Before Disabling This Setting?
Diversity Reporting is only available in Premium and Ultimate plans.
If your organization does not have Diversity Reporting, turning off this setting will still remove demographic fields from user profiles.

Directory & Profile Visibility
What Can Administrators Control with Directory & Profile Visibility?
Administrators can control who can view:
- The organization Directory
- Contact information in member profiles
- Demographic information in member profiles
To manage these options, select Configure Visibility.
After selecting Configure Visibility, administrators can choose visibility settings for Profile information and the Directory.
Profile Visibility Settings
What Profile Information Can Administrators Control?
In the Profile Visibility panel, administrators can choose who can see member profile details.
Profile visibility settings may apply to:

Contact Information, including:
- Phone number
- Address
-
Demographic Information, including:
- Date of birth
- Ethnic background
- LGBTQ+ status
- Veteran status
- Disability status
What Profile Visibility Options are Available?
Select the dropdown next to each profile information type to choose who can view it.
Who Can View Profile Details When Set to Admins, Group Admins, & Owner?
This option allows the following users to view demographic and contact information:
- Organization Administrators
- Group Administrators
- The profile owner
Who Can View Profile Details When Set to All Members?
This is the default setting in OnBoard.
This option allows all organization members to view another member’s demographic and contact information.
Who Can View Profile Details When Set to Mutual Group Members?
This option allows members to view demographic and contact information only for users who are in the same group.
Where Do Members See Profile Information?
When profile information is visible, users can select a member’s name in OnBoard to view their profile. Demographic and contact information will appear if those sections are enabled and visible to that user.
If a user does not have permission to view contact information, demographic information, or both, those sections will not appear in the profile.
| NOTE: If demographic information is disabled for your organization, the option to manage demographic profile visibility will not appear. |
Directory Visibility Settings
What Does Directory Visibility Control?
Directory Visibility controls who can access the organization Directory.
What Directory Visibility Options Are Available?
The Visibility dropdown allows administrators to choose who can view the Directory.
Who Can View the Directory When Set to Admins Only?
This option limits Directory access to administrators.
Members who cannot view the full Directory can still use some member-related features, depending on your organization’s plan and permissions. For example, they may still be able to:
- Message other members
- Assign tasks to other members
- View the Groups panel
- View Roles & Terms assigned to them in the Directory
- Select and view profile data for users in their groups, based on profile visibility settings
Users without permission to view the Directory will see a restricted access screen.
Who Can View the Directory When Set to All Members?
This is the default setting in OnBoard.
This option allows all organization members to view the Directory.
Agenda Style
What Are Pre-Set Agenda Styles?
Pre-set agenda styles let organizations choose a standard numbering or lettering format for meeting agendas.
For example, an agenda style may use:
- Roman numerals
- Capital letters
- Numbers
- Lowercase letters
Select the agenda configuration that best matches your organization’s preferred format.
How Can Organizations Request a Custom Agenda Style?
If the pre-set agenda styles do not match your organization’s needs, you can request a custom agenda style from OnBoard Product Support.
Include the following details in your request:
- Organization Name
- Numbering/Lettering Style
- Primary Section
- Subsection 1
- Subsection 2
- Subsection 3
- Whether any sections should include parent numbering
- Example: 1.b instead of b
Available section format options include:
- Numbers
- Lowercase Roman numerals
- Uppercase Roman numerals
- Lowercase letters
- Uppercase letters

Meeting Brief Emails
What are Meeting Brief Emails?
Meeting Brief emails are pre-meeting emails automatically sent to meeting invitees. These emails may include:
- Important meeting updates
- Reminders to view the board book
- Data-driven meeting insights

Meeting Agenda Pacer Line
What is the Meeting Agenda Pacer Line?
The Meeting Agenda Pacer Line is a red line that moves down the agenda during a meeting. It shows where the meeting should be based on the planned agenda timing.
The pacer line uses:
- The meeting start time
- The meeting end time
- Agenda section durations
Where Does the Meeting Agenda Pacer Line Appear?
When enabled, the pacer line can appear on:
- The Meeting Details page
- The Agenda view while the Book is open during the meeting
When is the Meeting Agenda Pacer Line Available?
This option appears only if the Agenda Pacer is enabled by a Meeting Administrator in that meeting’s Meeting Settings.
What is Required for the Meeting Agenda Pacer Line to Work?
The Meeting Agenda Pacer Line requires:
- A meeting start date and time
- A meeting end date and time
- Durations, in minutes, added to the agenda sections you want to track
Meeting Feedback
What is Meeting Feedback?
Meeting Feedback lets board members rate a meeting and leave comments to help improve future meetings.
When Meeting Feedback is enabled, Organization Administrators can choose when feedback emails are sent.
Who Can Receive Meeting Feedback Emails?
Meeting Feedback emails can be sent automatically 24 hours after a meeting to one of the following groups:
- Meeting invitees with an RSVP status of Attending, Maybe, or No Response
- Meeting attendees marked as Present or Remote in Attendance
- All meeting invitees, regardless of attendance status
RSVP means a meeting invitee’s response to a meeting invitation.
Can Meeting Feedback Emails Be Sent Manually?
Yes. Select Do Not Automatically Send if you want a Meeting Administrator to send feedback emails manually.

Public Posting
What is Public Posting?
Public Posting allows an organization to share a public meeting link for meetings that are set to be publicly posted.
Public Posting is available in:
- Premium plans
- Ultimate plans
- Essentials plans as an add-on
How Do Administrators Copy the Public Meeting URL?
In the Public Posting panel, administrators can copy the main Public Meeting URL to share with others outside of OnBoard. This URL will link to the Public Posting Page for a specific meeting.
To copy the link:
- Go to the Public Posting panel.
- Find the Public Meeting URL.
- Select the Copy button.

Zoom Account Linking
What Does Zoom Account Linking Do?
Zoom Account Linking connects a Zoom account to OnBoard. This allows organizations to use Zoom video conferencing with OnBoard meeting tools, including picture-in-picture Book and video views.
How Can Administrators Add Another Zoom Account?
After one Zoom account is connected, administrators can add more accounts by selecting + Add Another Zoom Account.
How Can Administrators Disconnect a Zoom Account?
To disconnect a Zoom account:
- Return to the Zoom Account panel in Feature Settings.
- Select Disconnect Zoom Account.

Teams Account Linking
What Does Teams Account Linking Do?
Teams Account Linking connects Microsoft Teams accounts to OnBoard. Meeting administrators can use connected Teams accounts to quickly generate a Teams meeting link for a meeting.
Microsoft Teams is a video meeting and collaboration tool from Microsoft.
How Can Administrators Connect a Teams Account?
Select Connect Teams Account to add a Microsoft Teams account.
How Can Administrators Add or Remove Teams Accounts?
After a Teams account is connected, administrators can:
- Select + Add Account to add another Teams account
- Select Remove to remove a connected Teams account
Why Might Administrators Need to Sign in to Teams Again?
If a Teams account has not been used in OnBoard for 90 or more days, the user will be prompted to sign in again. This refreshes the Teams connection.

Microsoft 365 Integration
Microsoft 365 Document Editing is available only in Premium and Ultimate plans.
Microsoft 365 is Microsoft’s suite of productivity tools, including Word, Excel, PowerPoint, and other apps.
Document Editing
What Does Microsoft 365 Document Editing Allow?
OnBoard’s Microsoft 365 Integration allows Admins and Contributors for Resources and Meetings to edit Microsoft files online.
Supported file types include:
- Excel spreadsheets
- PowerPoint presentations
- Word documents
If your organization does not want Admins and Contributors to edit these documents in Microsoft Online, an Organization Administrator can disable this feature in Feature Settings.

Document Publishing
What is Document Publishing?
Document Publishing controls when edited Microsoft 365 documents become available to Readers.
Readers are users who can view published meeting or resource materials.
What Publishing Options are Available?
When Microsoft 365 Document Editing is enabled, Organization Administrators can choose the default publishing setting for Meeting and Resource documents.
The available options are:

Automatically Publish Edited Documents
- Edits are published automatically and become available to Readers.

Manually Publish Edited Documents
- Edits must be published by a Meeting Admin, Resource Admin, or Contributor before Readers can see them.
For Meetings only, this setting can also be adjusted for an individual meeting.

Messenger Settings
OnBoard Messenger is available only in Premium and Ultimate plans.
What is OnBoard Messenger?
OnBoard Messenger is an instant messaging tool that helps organization members communicate in OnBoard.
With Messenger, users can send messages to:
- One user
- Multiple users
- A group of users
If your organization does not want to use Messenger, an Organization Administrator can disable it in Feature Settings.

Roles & Terms
Roles & Terms is available only in Premium and Ultimate plans.
Roles are labels or positions assigned to members, such as board chair or committee member.
Terms define how long a member serves in a role.
What Can Administrators Manage in the Roles Panel?
The Roles panel allows administrators to:
- View existing roles
- Edit roles
- Add custom roles
These roles can be used when entering Roles & Terms data for members.

Select Configure Roles to open the Roles configuration page. From there, administrators can view, edit, and add organization roles.
Term Limits
What are Term Limits?
Term Limits define how long members can serve in a specific role.
How Can Administrators Configure Term Limits?
Select Configure Term Limits to open the Term Limits configuration page. From there, administrators can set limits for roles and groups.
