Managing Time Zones for Meeting Times, Notifications, and Exported Materials

Meeting times can sometimes appear differently depending on where you are viewing them, such as in OnBoard, in email notifications, or in exported meeting materials. This happens because OnBoard uses time zone settings in different ways depending on the context.

How OnBoard Displays Meeting Times

When you view a meeting in OnBoard, the meeting time is shown based on the local time zone set on your device.

For example, if your computer or mobile device is set to Eastern Time, OnBoard displays the meeting time in Eastern Time. If your device later changes to Pacific Time, the meeting time shown in OnBoard will update to Pacific Time.

This helps users see meeting times in their own local context, especially when traveling or working across time zones.

How Times Appear in Emails and Exported Materials

Meeting email notifications and exported materials use your organization’s configured time zone.

This applies to materials such as:

  • Meeting books
  • Agendas
  • Minutes
  • Tables of contents
  • Approval timestamps
  • Other exported documents from OnBoard

Your organization’s time zone setting keeps these materials consistent.

ISO 8601 Dates in Some Exported Documents

Some exported documents may include dates or timestamps in ISO 8601 format. This may appear in items such as watermarked documents, eSignature timestamps, and tables of contents.

ISO 8601 is a standard date and time format used to provide consistent timestamps across systems and exported materials.

Organization Time Zone

Admins can set the organization’s time zone from Settings in the left navigation. Scroll to the Time Zone section to choose the time zone used for notifications and exported materials.

The selected organization time zone affects email notifications and exported items only. It does not change how meeting times appear in OnBoard for individual users.

Example

Suppose your organization’s time zone is set to Pacific Time.

A meeting organizer is located in Eastern Time and schedules a meeting for 12:00 PM Eastern Time.

In this case:

  • The meeting may appear in OnBoard according to each viewer’s device time zone.
  • The exported agenda will show the meeting time as 9:00 AM Pacific Time.
  • The meeting notification email will show the meeting time as 9:00 AM Pacific Time.

Changing Your Device’s Time Zone

Because OnBoard displays meeting times based on your device’s local time zone, you may want to check your device settings if the time shown in OnBoard does not look correct.

This can happen if:

  • Your device recently changed locations.
  • Your device time zone is set manually.
  • Your system settings do not match your current location.

To adjust the time displayed in OnBoard, update the time zone settings on your computer, phone, or tablet.

Windows

Right-click on the time in your taskbar (usually located at the bottom right corner of the screen) and select "Adjust date/time."

Next you can set whether Windows will keep your time and time zone up-to-date depending on your current location.

Or, if you'd like to keep your device set to a specific time zone, you'll want to disable the "Set time zone automatically" option and change the time zone from the dropdown below.

MacOS

Open the Apple menu, then select System Preferences.

Then click Date & Time.

If the lock at the bottom left is locked, click it to unlock the preference pane, then click Time Zone.

Here you can set the time zone automatically or manually. If you'd like to use Apple's suggested time zone using your current location, be sure "Set time zone automatically using current location" is selected.

Otherwise, if "Set time zone automatically using current location," you can click the area on the map for your Time Zone to set it manually.

iOS

To change the Time Zone open the iOS Settings, then open General

Then open Date & Time.

Here you can allow the Time to be set automatically based on your location, or you can disable the "Set Automatically" option to manually set your Time Zone.

With this disabled, you can then tap on the Time Zone to manually set it.

Android

Go to your Settings, then go to General Management.

From here, select "Date and time."

If you have the option "Automatic time zone" set, your device will use the mobile network to provide your current time zone.

Disable this option to allow you to manually set a time zone.

Setting "Set time zone based on location" will use your phone's location to provide the time zone.
