Preparing for Board Member Training

Training your Members on OnBoard is essential for long-term success. This guide outlines how to set up your portal for an effective demo and training session—so your board can follow along, ask questions, and gain confidence with the platform from day one.

Send Invitations

For the most effective training, Members should actively navigate OnBoard during the session. Ensure they’ve received their invitations and activated their accounts.

Confirm that all users are added to the Directory as Members, and verify that invitations have been sent.

If Members are listed as Awaiting Invitation, you can send invitations in bulk.

Prep Demo Meeting

We recommend that Members log in and explore OnBoard during training. This hands-on experience improves engagement and helps them understand how to access meeting materials quickly—leading to more insightful questions.

Recreate Your Last Meeting

Use your most recent meeting to create a demo. Familiar content helps Members focus on learning how to navigate OnBoard rather than adjusting to new material.

Create Agenda and Add Section Documents

Ensure the demo meeting is populated with an agenda and documents, so that Members have meeting content to review and navigate.

Review Meeting Permissions

Before training, ensure all Members are added to the demo meeting as Readers. We recommend using Groups to efficiently manage permissions.

Ensure Meeting is Visible

Set the meeting's visibility to All Visible: Agenda & Book so Members can access the meeting, agenda, and meeting materials.

Populate Resources

The Resources section holds key documents not tied to meetings created in OnBoard.

Create and Populate Resource Folders

Upload important information ahead of the training, such as:

  • Policies & Bylaws
  • Organization Directory
  • Committee Materials
  • Meeting Books from past (pre-OnBoard) meetings

Set Folder Permissions

Folders are not visible to Members unless they’ve been granted access.

Tip: Create Demo Member Account

To ensure a focused training experience and prevent Members from seeing administrative features, it's helpful for Admins to create a dedicated Member account for training purposes.

Use a separate email address to set up this account and assign it Member permissions. Add the account to the appropriate Groups, Meetings, and Resources included in the training.

This approach also allows you to verify exactly what Members will see and access ahead of the session.

Tip: Know the Mobile/Tablet Apps

OnBoard’s mobile apps—available for both iOS and Android—enable Members to securely and easily access organizational information from anywhere, at any time.

If your organization plans to primarily use the mobile apps, we strongly recommend conducting training directly on those devices to ensure a smooth user experience.

Even if the web application is your organization’s primary platform, it’s still important to become familiar with the mobile apps. This will help you confidently address questions and highlight key differences between the web and mobile experiences.
