Organization Administrators can edit some profile details for users in their organization. An Organization Administrator, also called an Org Admin, is a user with permission to manage organization-level settings and user information in OnBoard.

Edit a User Profile

How Do I Open a User’s Profile?

To edit another user’s OnBoard profile:

  1. Select Directory from the left navigation menu.
  2. Select the user’s name to open their profile.

How Do I Edit Available Profile Sections?

If you have Organization Administrator access, you can select Edit or Edit Details in available profile panels.

NOTE: You can only edit certain fields. Some profile fields must be updated by the user.

About & Employment

How Do I Edit About & Employment Details?

In the first profile panel, select Edit Details. This panel includes the user’s name, profile photo, employer, and title.

From this panel, an Organization Administrator can:

  • Upload a new profile photo for the user
  • Update the user’s Employer
  • Update the user’s Title

Can an Organization Administrator Edit a User’s Name?

No. Organization Administrators cannot edit these name fields:

  • Salutation
  • First Name
  • Middle Name
  • Last Name

If a user’s name was entered incorrectly before they accepted their invitation, use the process outlined in the Correcting a Misspelled User's Name article.

If the user has already accepted their invitation, the user must update their own name from their profile settings.

Demographics

What is Demographic Profile Information Used For?

Demographic information can help your organization better understand the makeup of its board or leadership group.

Demographic information is pulled from each user's profile and used to generate Diversity Reporting for Groups. The system combines demographic data from all group members, such as details related to identity, background, service, or accessibility. Use this section carefully and follow your organization’s privacy, consent, and data policies.

How Do I Edit Demographic Information For a User?

From the Demographics panel, select Edit Details.

An Organization Administrator may be able to add or update the user’s demographic preferences.

NOTE: Your organization may restrict whether users can see or edit demographic information.

What Demographic Fields Can Be Updated?

Depending on your organization’s settings, you may be able to add the user’s date of birth and select responses for these questions:

  • How do you describe your gender identity?
  • To what racial or ethnic groups do you belong?
  • Do you identify as LGBTQ+?
  • Are you a military veteran?
  • Are you an individual with disabilities?

For each question, you may also have the option to choose that the user does not want to disclose the information.

When finished, select Save Changes in the top-right corner of the panel.

Additional Board Experience

What is Additional Board Experience?

Additional Board Experience lets you list other boards where a user currently serves or has served in the past.

How Do I Add or Edit Board Experience?

Select Edit Details in the Additional Board Experience panel.

To add board experience:

  1. Enter the name of the Organization.
  2. Enter the user’s Role for that organization.
  3. Select Active Role if the user currently serves with that organization.
  4. Leave Active Role unchecked if the user no longer serves with that organization.

You can also:

  • Select + Add Experience to add another row
  • Select the X next to a row to remove it
  • Select No prior board experience if the user does not have previous board experience

When finished, select Save Changes.

When Will Users Be Asked to Confirm Board Experience?

After users have used OnBoard for meetings, resources, or other activities, they may be asked to enter or confirm their additional board experience.

If no board experience has been added, they will be asked to enter it. If board experience already exists, they will be asked to review and update it.

After completing this step, users may also have the option to refer their boards to OnBoard.

Contact & Address

How Do I Edit Contact & Address Details?

The Contact & Address panel is below the About & Employment panel.

Select Edit Details to update a user’s contact and address information.

Change a User’s OnBoard ID or Email Address

What is an OnBoard ID?

A user’s OnBoard ID is the email address they use to sign in to OnBoard and receive account-related emails.

Can an Organization Administrator Edit a User’s OnBoard ID or Email Address?

No. Although the user’s email address appears in the Contact & Address panel, Organization Administrators cannot edit it from the profile.

This is because a user may belong to more than one OnBoard organization. Changing the OnBoard ID in one organization would affect the user’s sign-in email across all organizations where they are a member.

What Should I Do if the User’s Email Address is Incorrect?

There are two ways to fix an incorrect OnBoard ID or email address.

Option 1: Have the User Update Their Own Email Address

This is the recommended option if the user can sign in.

The user can update their own OnBoard ID using the steps in the following article:

Option 2: Remove and Re-Add the User

Use this option only if the user cannot sign in and cannot update their own email address.

NOTE: If you remove and re-add the user, you may need to manually restore their information and access.

 This can include:

  • Profile photo
  • Biography
  • Contact details
  • Group membership
  • Meeting permissions
  • Resource permissions
  • Other item permissions

To remove and re-add the user:

  1. Go to the Directory.
  2. Select the three-dot menu next to the user.
  3. Delete or remove the user from the organization.
  4. Add the user again with the correct email address using Add Member or Import CSV.
  5. Update the user’s profile and profile settings.
  6. Restore the user’s groups, meeting access, resource access, and other permissions.

A CSV, or Comma-Separated Values file, is a spreadsheet-style file used to import or export user data.

Contact & Address Information

Which Contact Fields Can an Organization Administrator Edit?

An Organization Administrator can edit the user’s contact and address fields.

Contact information may include:

  • Work phone
  • Home phone
  • Cell phone

Address information may include:

  • Street address
  • City
  • State
  • Postal code
  • Country

Biography

What Should I Include in a User Biography?

The Biography panel can include professional background, career experience, education, recognition, or other relevant information.

Select Edit Details to add or update the user’s biography.

How Do I Edit the Biography?

The Biography panel opens a text editor. You can type the user’s biography or copy and paste it into the editor.

Skills

Can an Organization Administrator Edit a User’s Skills From Their Profile?

No. Organization Administrators cannot edit a user’s Skills from the user profile.

However, you can view the skills the user has shared.

Social

How Do I Edit a User’s Social Profile Information?

The Social panel is below the Skills panel.

Select Edit Details to add or update social profile information.

Groups, Roles & Terms

Can an Organization Administrator Edit Groups, Roles & Terms From the User Profile?

No. Organization Administrators cannot edit the Groups, Roles & Terms panel from the user profile.

However, you can view the information in this section.

Profile Settings

How Do I Open Profile Settings for a User?

More settings are available from the top of the user profile.

Select the Settings tab.

Receive Email Notifications Setting

How Do I Turn Email Notifications On or Off for a User?

An Organization Administrator can change a user’s email notification setting from the Settings tab.

To update this setting, select or clear the Receive Email Notifications checkbox.

Important: Turning this off disables most OnBoard email notifications for the user. Mandatory account emails, such as password reset emails, will still be sent.

Alternate Notification Addresses Setting

What are Alternative Notification Addresses?

Alternative Notification Addresses are extra email addresses that can receive many OnBoard email notifications for a user.

This is helpful when a user wants notifications temporarily or permanently sent to another person, such as a proxy or assistant.

How Do I Add An Alternative Notification Address?

Select Alternative Notification Addresses.

Some emails are only sent to the user’s OnBoard ID email address. These emails are not sent to Alternative Notification Addresses:

  • Account invitation emails
  • Password reset emails
  • Calendar integration emails, including calendar invites

What Information Do I Need to Add an Alternative Notification Address?

You can add:

  • The alternative email address
  • The name of the person receiving the notifications

Can I Add More Than One Alternative Notification Address?

Yes. Select Add Another in the bottom-left corner of the window to add more Alternative Notification Addresses.

Export User Profile Information

How Do I Export User Profile Information?

User profile information can be exported from the Directory.

Select Export Member List to download a CSV file with your current user list and profile data.

You can also use this CSV file to import users back into OnBoard through the Import CSV process.

Change a User’s OnBoard ID or Email as an Admin

Why Can’t Admins Change a User’s OnBoard ID or Email Address?

Organization Administrators cannot change a user’s OnBoard ID or email address because a user may belong to multiple OnBoard organizations.

If the user belongs to more than one organization, changing the email address in your organization would also change the user’s OnBoard ID across all other organizations where they are a member.

Only users can update their own OnBoard ID or email address.

How Can an Admin Update a User’s Incorrect Email Address?

If you are an Organization Administrator and need to fix a user’s OnBoard ID or email address, delete the user and re-add them with the correct email address.

Before doing this, make sure you are prepared to restore their profile details and access.

To update the user’s email address as an admin:

  1. Delete the user by selecting the three-dot menu to the right of the user in the Directory.
  2. Add the user again with the correct email address using Add Member or Import CSV.
  3. Update the user’s profile and profile settings.
  4. Restore the user’s Permissions for meetings, resources, and other items.
  5. Add the user back to the correct Groups.

FAQs

Can an Organization Administrator edit another user’s profile?

  • Yes. Organization Administrators can edit some profile fields, such as employer, title, contact information, address, biography, social links, notification settings, and some demographic details if allowed by organization settings.

Can an Organization Administrator change a user’s name?

  • No. Organization Administrators cannot edit a user’s salutation, first name, middle name, or last name. The user must update these fields from their own profile settings.

Can an Organization Administrator change a user’s OnBoard ID or email address?

  • No. Only the user can change their own OnBoard ID or email address. If the user cannot sign in, an admin can remove and re-add the user with the correct email address, then restore their profile details, groups, and permissions.

What happens if I remove and re-add a user to fix their email address?

  • The user may lose profile details, group membership, and item permissions. After re-adding the user, you should update their profile and restore any needed access.

Can an Organization Administrator edit a user’s skills?

  • No. Organization Administrators can view shared skills from the user profile, but they cannot edit the user’s skills from that page.

Can Alternative Notification Addresses receive all OnBoard emails?

  • No. Alternative Notification Addresses do not receive account invitation emails, password reset emails, or calendar integration emails. Those emails only go to the user’s OnBoard ID email address.

What is exported when I select Export Member List?

  • Selecting Export Member List downloads a CSV file with the current user list and profile data from the Directory.
