Your Profile & Settings page in OnBoard lets you manage your personal profile, account security, notification preferences, signatures, and organization-specific settings.

This article explains how to manage your profile and settings in the web browser experience.

Profile Overview

How Do I Get to My Profile?

To edit your personal profile information:

  1. Select your name or profile photo in the bottom-left corner of OnBoard.
  2. Select Profile.

At the top of the page, you’ll see two tabs:

  • Profile: Includes personal information like your name, address, phone numbers, biography, and other profile details.
  • Settings: Includes account controls like notifications, security settings, eSignatures, and organization-specific settings.

Profile Photo

How do I add or update my profile photo?

If you do not have a profile photo, or if you want to update your current photo:

  1. Go to the Profile tab.
  2. Select Edit Details near the top panel with your name.
  3. Select Upload Image.
  4. Choose an image from your device.
  5. Select Save Changes.

You can upload these file types:

  • JPG
  • PNG
  • GIF
NOTE: Profile photos are automatically cropped into a square. For best results, upload an image that is already square.

About & Employment

How Do I Update My Name, Title, or Employer?

In the same top profile panel, you can update your basic profile details, including:

  • Salutation
  • Name
  • Employer
  • Title

After you make changes:

  1. Select Save Changes in the top-right corner of the panel.
  2. Or select Cancel to leave without saving.

Demographics

How Do I Add Demographic Information to My Profile?

Demographic information can help your organization better understand the communities represented within your board or leadership group.

To update demographic information:

  1. Go to the Demographics panel.
  2. Select Edit Details.
  3. Choose the options that best fit your identity.
  4. Select Save Changes when finished.

NOTE: Your Administrator may limit who can view demographic information in your organization.

You may be able to add your date of birth and choose whether to share information for these questions:

  • How do you describe your gender identity?
  • To what racial or ethnic groups do you belong?
  • Do you identify as LGBTQ+?
  • Are you a military veteran?
  • Are you an individual with disabilities?

You may also be able to choose not to disclose some information.

Once you've set all of your information to what you'd like, click Save Changes at the top right corner of the panel.

Additional Board Experience

How Do I Add Other Board Experience to My Profile?

The Additional Board Experience section lets you list other boards you currently serve on or have served on in the past.

To add or edit board experience:

  1. Select Edit Details.
  2. Enter the Organization name.
  3. Enter your Role for that organization.
  4. Select the Active Role checkbox if you currently serve with that organization.
  5. Leave the Active Role checkbox blank if you no longer serve with that organization.

To manage multiple roles:

  • Select + Add Experience to add another row.
  • Select the X next to a row to delete it.
  • Select No prior board experience if you do not have prior board experience.
  • Select Save Changes when finished.

Contact & Address

How Do I Update My Phone Number or Address?

The Contact & Address panel shows your OnBoard ID email address and other contact details.

OnBoard ID means the email address used to sign in to your OnBoard account. Your OnBoard ID must be changed from the Settings tab.

To update contact information:

  1. Go to the Contact & Address panel.
  2. Select Edit Details.

  1. Enter or update your information.

You may be able to add:

  • Work phone
  • Cell phone
  • Home phone
  • Physical address

Biography

How Do I Add a Biography to My Profile?

The Biography panel lets you share information about yourself with other users who can view your profile.

You can include details such as:

  • Professional experience
  • Career background
  • Education
  • Recognition or awards
  • Other information you want colleagues to know

Skills

How Do I Add or Update Skills in My Profile?

The Skills panel may not appear for all users. If it appears, you can use it to report skills your organization tracks.

Skills Tracking means your organization can list important skills and let users report their experience or proficiency in those skills.

To update skills:

  1. Go to the Skills panel.
  2. Select the skills that apply to you.
  3. Enter your proficiency or experience level, if required.
  4. Select Save Changes.

To add a skill that is not listed:

  1. Select + Add Skill under Additional Skills.
  2. Enter the skill name.
  3. Add your proficiency or experience level, if required.
  4. Select Save Changes.

Social

How Do I Add Social Media Links to My Profile?

The Social panel lets you add links to your social profiles.

You may be able to add:

  • X.com handle
  • LinkedIn profile link

To add or edit social links:

  1. Go to the Social panel.
  2. Select Edit Details.
  3. Add your social profile information.
  4. Select Save Changes.

Users who can view your profile can select these links to open your social profiles.

Groups, Roles & Terms

How Do I View My Groups, Roles, and Terms?

The Groups, Roles & Terms panel lists the groups you belong to and any roles or terms assigned to your user profile.

Roles are permissions or positions assigned to a user.
Terms are date-based service periods or assignments connected to a role.

To view more detail:

  1. Go to the Groups, Roles & Terms panel.
  2. Select a group to expand it.
  3. Review the roles and terms assigned to you.

Settings

OnBoard Credentials

How Do I Manage My OnBoard ID or Password?

At the top of the Settings tab, you can manage your OnBoard credentials.

OnBoard credentials are the sign-in details used to access your OnBoard account. These include your OnBoard ID and password.

From this section, you may be able to:

  • Change your OnBoard ID email address
  • Change your password

Two-Factor Authentication

How Do I Enable Two-Factor Authentication?

Two-factor authentication, also called 2FA, adds another security step when you sign in. In addition to your password, you must enter a verification code.

To manage two-factor authentication:

  1. Go to the Settings tab.
  2. Find the Two-Factor Authentication section.
  3. Enable two-factor authentication.
  4. Add an SMS phone number or authenticator app.

SMS means text message.
An authenticator app is an app that creates secure sign-in codes.

Third-Party Sign In

How Do I Link a Google or Microsoft Account?

The Third-Party Sign In section lets you link another account for signing in to OnBoard.

You may be able to link:

  • Google account
  • Microsoft account

Locale Settings

How Do I Change the Date and Time Format?

The OnBoard web application defaults to the English (United States) date and time format.

To update your date and time format:

  1. Go to the Settings tab.
  2. Find Locale Settings.
  3. Open the location dropdown menu.
  4. Select the location format you want to use.

This setting changes how dates and times appear in:

  • OnBoard web pages
  • Downloaded documents
  • Notifications

NOTE:

This setting does not change your time zone. OnBoard displays time zones based on your device location.

This setting is managed separately for each organization. If you belong to more than one OnBoard organization, update this setting in each organization as needed.

This setting applies only to the web application. The OnBoard mobile and tablet apps use your device’s date and time settings.

Calendar Integration

How Do I Connect My Calendar to OnBoard?

The Calendar Integration section lets you connect a calendar so you can receive meeting invitations and RSVP updates from OnBoard.

RSVP means responding to a meeting invitation, such as accepting or declining.

Organization Settings

What Organization-Specific Settings Can I Manage?

The final section of the Settings tab includes settings for the organization you currently have selected.

Email Notifications

How Do I Turn Email Notifications On or Off?

The Receive Email Notifications setting controls whether you receive email notifications from OnBoard.

We recommend keeping Receive Email Notifications turned on so you receive important updates from your organization.

If Receive Email Notifications is unchecked:

  • You will not receive emails for meetings, announcements, actions, resources, messages, and more.
  • Password reset emails will still be delivered.
  • Calendar invitation emails from OnBoard Calendar Integration will still be delivered.
  • This setting does not affect push notifications for the mobile or tablet apps.
  • This setting does not affect email notifications sent to Admins of meetings, actions, resources, or similar items.

Alternative Notification Addresses

How Do I Add Another Email Address for Notifications?

An Alternative Notification Address is an extra email address that can receive some OnBoard notifications for your account in the selected organization.

To add an alternative notification address:

  1. Go to Profile and Settings.
  2. Scroll to Alternative Notification Addresses.
  3. Select the Alternative Notification Addresses button.
  4. Add the email address.
  5. Save your changes.

NOTE: These emails are only sent to your OnBoard ID email address and are not sent to alternative notification addresses:

  • Account invitation emails
  • Password reset emails
  • Calendar integration emails
  • Calendar invites

Delegate Admin Permissions

How Do I Delegate My Administrator Permissions?

If you are an Organization-Wide Administrator, you may be able to duplicate your admin permissions to another user.

This can be helpful for coverage during:

  • Vacation
  • Retirement
  • Job changes
  • Other transitions

To begin, select Delegate Admin Permissions

eSignatures

How Do I Create or Upload an eSignature?

An eSignature is an electronic signature that can be used when signing items in OnBoard.

You can save a signature and initials to your profile. When signing on web or mobile, you may be able to use the saved signature instead of signing manually each time.

To create a signature:

  1. Select Create Signature.
  2. Sign using your mouse, touchscreen, or stylus.

  • Once your signature looks the way you want, select Save Changes.

To create initials:

  1. Select Create Initials.
  2. Write your initials using your mouse, touchscreen, or stylus.

To upload a saved image instead:

  1. Select Upload under the signature or initials option.
  2. Choose a JPG, GIF, or PNG image file.
  3. Save your changes.

FAQs

How do I open my Profile and Settings in OnBoard?

  • Select your name or profile photo in the bottom-left corner of OnBoard, then select Profile. From there, you can use the Profile and Settings tabs to manage your account information and preferences.

What information can I update from the Profile tab?

  • You can update profile details such as your profile photo, name, title, employer, contact information, address, biography, demographic information, board experience, skills, social links, and groups, roles, and terms.

How do I change my OnBoard ID or email address?

  • Your OnBoard ID is managed from the Settings tab, not the Contact and Address section. Go to Settings and use the OnBoard credentials section to change your OnBoard ID.

Can I change my password from Profile and Settings?

  • Yes. You can change your password from the Settings tab under your OnBoard credentials.

What file types can I use for my profile photo?

  • You can upload a JPG, PNG, or GIF file. For best results, use a square image because OnBoard automatically crops profile photos into a square format.

Who can see my demographic information?

  • Visibility depends on your organization’s settings. Your Administrator may restrict whether other users can view demographic information.

What happens if I turn off Receive Email Notifications?

  • You will stop receiving most OnBoard email notifications, including emails for meetings, announcements, actions, resources, and messages. Password reset emails and Calendar Integration invitation emails will still be sent.

Can alternative notification addresses receive password reset emails?

  • No. Password reset emails are only sent to your OnBoard ID email address.

Can I connect my calendar to OnBoard?

  • Yes. You can connect a calendar from the Calendar Integration section in the Settings tab to receive meeting invitations and RSVP updates.

Can I save an eSignature in OnBoard?

  • Yes. You can create or upload saved signatures and initials from the eSignatures section, if your organization allows saved signatures for eSignature actions.
