Archiving a meeting in OnBoard creates a permanent historical record of that meeting. This feature helps organizations maintain compliance, transparency, and accountability by preserving records for audits and legal requirements.
Before You Archive
- Confirm you want to archive the meeting. This action is irreversible.
- If your Organization Administrator has enabled Delete Annotations from Archived Meetings, all annotations will be permanently deleted and cannot be recovered.
Steps to Archive a Meeting
- Open the Meeting Options Menu.
- Click Archive.
- A confirmation dialog box will appear. Select Confirm to complete the process.
What Happens After Archiving?
When a meeting is archived:

Permissions Change:
- All Contributors become Readers.
- Administrators remain Administrators and can still manage user access.

Permission Snapshot Report:
- A new report is generated showing who had access at the time of archiving.
- Access this report by going to Downloads > Permission Snapshot.

Annotations:
- If the Remove Annotations from Archived Meetings setting is enabled, all annotations are permanently deleted.
- If not enabled, previous notes and annotations remain view-only.
- Meeting Book: Still visible to users with the correct permissions.
Important Notes
- Archiving is permanent.
- Deleted annotations cannot be recovered.
- Administrators can still grant access to archived meetings later.
