What is Book AI?

Book AI is an OnBoard feature that uses Artificial Intelligence (AI) to create short, clear summaries of Meeting Book sections. It helps Members, Directors, and Trustees to prepare for upcoming meetings and quickly review past ones.

Where Can I Find Book AI?

Web (Browser)

1. Open OnBoard.
2. Choose Open Book from:
   • Home page, or
   • Meetings list, or
   • A meeting’s Details page.
3. Go to the Agenda inside the Meeting Book.

Mobile (App)

1. Open the OnBoard mobile app.
2. Tap Begin or Resume Reading from:
   • The Home page, or
   • The meeting’s Details page (Begin/Resume Reading Book).
3. Go to the Agenda inside the Meeting Book.

How Do I View Section Summaries?

Web

1. At the top of the Agenda, click Help Me Prepare.

2. The Preparation Guide opens with summaries for each section.
3. Click the arrows or select a section's title to move between section summaries.

4. Or, when viewing an agenda section, select Help Me Prepare from within the section to immediately view the summary for that section.

Mobile

1. In the Agenda, under a section title, tap Help Me Prepare.
2. A Meeting Preparation box appears with that section’s summary.
3. Tap Previous or Next to move between section summaries.

What’s included in each summary?

• All documents in the agenda section (excluding supplementary documents)
• Any documents in its subsections

Permissions reminder:

• If you are excluded from a section or its subsections, you will not see those summaries.

How Do I Jump Back to the Original Documents?

• Web: In the Preparation Guide, click Jump to Section Material in Book.

• Mobile: In the Meeting Preparation box, tap Jump to Section Material in Book.

How Do I Summarize A Single Document?

Book AI summarizes sections. To summarize one document, use Intelligent Assistant:

Web + Mobile

1. Open the document in the Meeting Book.
2. Click the Intelligent Assistant star icon in the bottom-right corner.
3. Select/Type Summarize Document.

Mobile: Status messages in the Meeting Preparation box

• If Book AI was turned off when the book was built, you will not see the Help me Prepare option
• If there is not enough content for a section, a message will say so in the Section Summary

How to fix or refresh summaries

1. Ensure Book AI is ON.
2. Re-upload any updated or missing documents.
3. Rebuild the Meeting Book to regenerate section summaries.

FAQs

What does Book AI summarize?

• Book AI generates summaries of all documents contained within a section, including those in its sub-sections. Book AI will not summarize supplementary documents.

Can I generate a summary for an individual document within a section?

• If enabled for your organization, you can use the Intelligent Assistant to generate a summary for a specific document within a section.

Will Book AI summarize documents for sections I've been excluded from?

• No. Book AI will not generate summaries for any sections or sub-sections you’ve been excluded from. If you’re excluded from a sub-section, Book AI will also not provide summaries for any documents within its parent section.

How long can the summaries be?

• A section summary is generally limited to roughly four paragraphs. These summaries provide a high-level overview to help you determine which documents within a section may warrant closer review.

Why do I see "Summary is generating and will be available soon" on the agenda sections and the preparation guide?

• Section summaries are created when documents are uploaded to the agenda and the meeting book is built. If the meeting book was built before Book AI was activated, you’ll see “Summary is generating and will be available soon.” To generate summaries for meetings created before Book AI was enabled, re-upload all documents to the agenda and rebuild the meeting book.
