OnBoard provides a Resource Library where you can find important documents such as policies, procedures, expense reports, and bylaws.

What Are Resource Documents in OnBoard?
Resource Documents are files stored in OnBoard’s Resource Library for easy access by authorized users. These can include:
- Policies and procedures
- Expense reports
- Bylaws
- Images, videos, and websites
How Do I View Resource Documents?
On Web
- Click Resources in the OnBoard navigation menu.
- Browse folders and documents you have permission to view.
- Click any document, image, video, or link to open it.
On Mobile or Tablet
- Tap Resources in the navigation menu.
- If you don’t see Resources, tap the (...) More icon.
- Select the document to view.
Can I Download or Share Resource Documents?
Yes, if downloads are enabled for your organization.
- Click the Download icon before viewing the file, or
- Click Download while viewing the document.
- Tap the Share button (top-right corner) to:
- Save
- Share the document
What Happens When Exporting Documents with Annotations?
When exporting from the mobile and tablet apps, annotations will reflect your current viewing mode:
- Hide Annotations: No annotations included
- My Annotations: Only your annotations included
- Shared Annotations: Only annotations shared with you included
- All Annotations: Includes your annotations and any shared annotations

How Do I Create Annotations on Resource Documents in the Web App?
You can annotate PDFs, Word, PowerPoint, and Excel files directly in OnBoard.
Steps to Annotate
- Open the Resource Document.
- Click Annotate in the toolbar.
- Use the Annotation menu to add notes, highlights, or comments.
How Do I Create Annotations on Resource Documents on Mobile or Tablet?
- Open the Resource Document.
- The annotation tools appear along the bottom of the screen on mobile and tablet.

Choose Your Annotation Tool
- Typed Text (A)
- Notes (comment bubble)
- Highlight and Underline (H or U)
- Freehand Notes (pen)
- Place Your Annotation by tapping or dragging on the document where you want the annotation to appear.
- Edit the annotation, then select the check mark in the right-hand Annotations customization menu.
Can I Share Resource Annotations?
Yes, but only if enabled by an organization administrator and if your organization uses:
- Legacy Collaboration Suite
- Premium Package
- Ultimate Package
How to Share Annotations
- Select the annotation you want to share.
- Click the Share icon.
- To view shared annotations:
- Change the view setting at the bottom-left of the document viewer:
- My Annotations
- Shared Annotations
- All Annotations
- Change the view setting at the bottom-left of the document viewer:
Share Multiple Annotations
- Use the Select Tool and drag to select multiple annotations, or
- Hold CTRL and click each annotation.
Group them and click Share Annotation.
How Do I View Recently Accessed Documents on Mobile?
- Recently viewed documents appear in the main Resource folder.
- Tap to reopen or click Clear to remove them from the list.
FAQs
How do I enable downloads for Resource Documents?
- Downloads are controlled by your organization’s settings. If you don’t see the option, contact your OnBoard Administrator to enable it for your account or group.
Can I share annotations without Premium or Ultimate?
- No. Annotation sharing is only available in the Legacy Collaboration Suite, Premium, or Ultimate packages. If you need this feature, reach out to your Account Manager.
Where can I find Resources on mobile?
- On smaller screens, the Resources menu may be hidden under the (...) More icon. Tap (...) More, then select Resources.
What types of files can I annotate?
- You can annotate PDFs, Word, PowerPoint, and Excel documents—just like meeting documents.
Is Annotation Sharing always available if I have the right package?
- Not necessarily. Even if your organization uses the Legacy Collaboration Suite, Premium, or Ultimate package, annotation sharing may still be disabled by your OnBoard Administrator. If you don’t see the option to share annotations, check with your administrator to confirm whether this feature has been turned off for your account or group.
