Annotations in OnBoard allow you to mark up your Meeting Book with notes, highlights, and drawings. These tools help you collaborate, organize thoughts, and share insights with other meeting participants.

What Are Annotations in OnBoard?

Annotations are visual or text-based notes you can add directly to the pages of your Meeting Book. They can be created on any supported web browser or mobile app, and changes sync across devices.

Available Annotation Tools

  • Highlight – Emphasize text with color.
  • Underline – Draw a straight underline beneath text.
  • Squiggly Line – Add a wavy underline for emphasis.
  • Free Hand – Draw directly on the page.
  • Free Hand Highlight – Highlight text with freehand strokes.
  • Free Text – Type text anywhere on the page.
  • Note – Add sticky-note style comments.

How Do I Access the Annotation Toolbar?

  1. Open your Meeting Book.
  2. Click Annotate at the top of the screen.
  3. The Annotation Toolbar will appear

  • Left side: Selectable Annotation tools.

  • Center: Style icon for customizing color, font, stroke, fill, and opacity.

  • Right side: Undo and Redo buttons.

How Do I Use Each Annotation Tool?

Highlight Tool

  • Click the Highlight icon.
  • Adjust color and opacity via Style.

  • Click and drag over text to highlight.

Underline Tool

  • Click the Underline icon.
  • Customize style via Style.

  • Drag over text to underline.

Squiggly Tool

  • Click the Squiggly icon.
  • Adjust color and opacity.

  • Drag over text to apply a squiggly underline.

Free Hand Tool

  • Click the Free Hand icon.
  • Customize stroke thickness and color.

  • Draw directly on the page.

Free Hand Highlight Tool

  • Click the Free Hand Highlight icon.
  • Adjust color and stroke.

  • Draw highlights freehand; OnBoard will align with text where possible.

Free Text Tool

  • Click the Free Text icon.
  • Customize font, alignment, and color.

  • Click anywhere to add a text box and type your note.

Note Tool

  • Click the Note icon.
  • Drop a marker on the page.

  • Type your comment in the panel that appears on the right. 
  • Once placed, it can be moved around into a new location.

How Can I View My Annotations?

  • Open the Comments Panel (usually on the right side).
  • See all annotations listed by page.
  • Click an annotation to jump to its location.

  • Alternatively, use the Annotations tab in the left Agenda panel.

How Do I Share Annotations?

Share a Single Annotation

  1. Click the annotation.
  2. Select the Share icon.

  1. Choose recipients and click Save.

Share Multiple Annotations

  1. Go to the Annotations tab.
  2. Click Select & Share.

  1. Choose:
    • Select All
    • Select by agenda section
    • Select specific annotations
  2. Click Share Selected and choose recipients.

Tip: You can also select multiple annotations on a page by:

  • Dragging a selection box around them using the Select Tool 2023-02-03_16-50-28.png 
  • Holding CTRL while clicking each annotation.

  • Once grouped together, use the Share Annotation button to share your annotations. 

Notifications: Shared annotations trigger email or push notifications.

How Do I Edit, Delete, or Filter Annotations?

  • Edit: Click the annotation, then Style to change color, font, or stroke.
  • Delete: Select the annotation, then click Delete.

  • Filter: Use the Annotation Filter at the bottom of the viewer:
    • All Annotations (yours and those shared with you)
    • Shared Annotations (only those shared with you)
    • My Annotations (only those you have created)
    • Hide Annotations (none at all)

What Happens When Documents Are Edited?

If a Meeting Book or Resource document is edited via Microsoft 365 Integration:

  • A banner will notify you that annotations may be impacted.

  • Annotations retain their position but can be moved or edited after updates.

FAQs

Why can’t I see annotations shared by others?

  • You may not see shared annotations if Annotation Sharing is disabled or you lack access to the same Meeting Book. 
  • To fix this, ensure sharing is enabled, confirm your access, refresh your app or browser, and set the Annotation Filter to All Annotations.

Can I edit or delete annotations after sharing?

  • Yes, you can edit or delete your own annotations even after sharing. 
  • Click the annotation and select Style to edit or Delete to remove. Only the creator can make changes.

What happens if the document is updated?

  • Annotations remain but may shift after edits. A banner will alert you, and you can move or restyle annotations as needed.
