Profile Overview

Your Profile & Settings area in the OnBoard mobile app lets you view and manage personal profile details, update account and security settings, manage notification preferences, save eSignatures, and control mobile-specific options like offline data and downloads.
 
This article explains how to manage your profile and settings in the OnBoard mobile and tablet experience.
NOTE: Some profile and account settings may be managed differently on mobile than they are in the web browser experience. If a setting is not available in the mobile app, you may need to update it from OnBoard in a web browser.

Viewing Profiles

Directory Access

How Do I View a Profile From the Directory?

You can access user profiles from your organization’s Directory.

The Directory may show:

  • Organization members
  • Names
  • Profile images
  • Shared groups

To access the Directory on the tablet app:

  1. Tap Directory in the navigation panel.
  2. Select a user profile.

To access profiles on the phone app:

  1. Tap the More icon.
  2. Tap Directory.
  3. Tap the profile you want to view.

Settings Access

How Do I Open My Profile from Settings?

You can also access your own profile from the Settings menu.

On the tablet app:

  1. Tap Profile & Settings in the navigation panel.
  2. Select your profile.

On the phone app:

  1. Tap the More icon (...)
  2. Tap your profile.

Profile Photo

How Do I Add or Update My Profile Photo on Mobile?

If your organization allows profile photo updates, you will be able to add or change your profile photo from your mobile profile.
 
Steps:
  1. Navigate to your profile:
    • Tap the More icon (...)
    • Tap your profile at the top
  2. Tap Edit in the top right.
  3. Tap Edit below your profile photo or photo area.
  4. Choose between the selection options:
    • Take Photo
    • Select from Photos
    • Select from Files
  5. Select Save Changes in the top right.

NOTE: Profile photos may be automatically cropped. For best results, use a square image.

How Do I Edit My Profile in the Mobile App?

You can manage your own profile from the mobile or tablet app. Organization-Wide Admins may also be able to edit user profiles.

To edit your profile:

  1. Open your profile.
  2. Tap the edit button for the section you want to update.
  3. Make your changes.
  4. Save your changes.
Depending on your organization’s settings and your permissions, you may be able to edit:
  • Profile photo
  • Name and employment information
  • Contact information
  • Demographic information
  • Additional board experience
  • Biography
  • Skills
  • Social media links
  • Groups, roles, and terms
  • eSignature and initials

NOTE: Some fields may be view-only in the mobile app. If you cannot edit a profile field on mobile, try updating it from OnBoard in a web browser or contact your Administrator.

Name and Employment Information

How Do I Update My Name, Title, or Employer on Mobile?

Your profile may include basic information such as your name, employer, and title.
 
To update this information:
  1. Open your profile.
  2. Tap Edit in the profile details section.
  3. Update the available fields.
  4. Save your changes.

Depending on your organization’s settings, some fields may not be editable from the mobile app.

Demographic Information

How Do I Update Demographic Information on Mobile?

If your organization collects demographic information, you may be able to update it from your mobile profile.
 
Demographic information can help your organization better understand the communities represented within your board or leadership group.
 
You may be able to add or update information such as:
  • Date of birth
  • Gender identity
  • Race or ethnicity
  • LGBTQ+ identity
  • Military veteran status
  • Disability status
You may also be able to choose not to disclose some information.

NOTE: Your Administrator may limit who can view demographic information in your organization.

Groups, Roles, and Terms

How Do I View My Groups, Roles, and Terms on Mobile?

Your profile may show the groups you belong to and any roles or terms assigned to your user profile.
  • Roles are permissions or positions assigned to a user.
  • Terms are date-based service periods or assignments connected to a role.
To view this information:
  1. Open your profile.
  2. Scroll to Groups, Roles, and Terms.
  3. Tap a group to view more detail, if available.
  4. Review your assigned roles and terms.

Additional Board Experience

How Do I Add Other Board Experience on Mobile?

The About section lets you list other boards you currently serve on or have served on in the past.
 
To add or edit board experience:
 
  1. Open your profile.
  2. Scroll to About.
  3. Tap Edit.
  4. Enter the organization name.
  5. Enter your role.
  6. Mark the role as active if you currently serve with that organization.
  7. Save your changes.
You may also be able to add multiple board experiences or select that you have no prior board experience.

Social Media Links

How Do I Add Social Media Links on Mobile?

If your organization allows social profile links, you may be able to add links to your profile.
 
You may be able to add:
  • X.com handle
  • LinkedIn profile link
To add or edit social links:
  1. Open your profile.
  2. Scroll to the Social section.
  3. Tap Edit.
  4. Add your social profile information.
  5. Save your changes.
Users who can view your profile may be able to select these links to open your social profiles.

Skills Tracking

How Do I Report Skills in the Mobile App?

If your organization uses Skills Tracking, you can report skills from your mobile profile.

To report skills:

  1. Scroll to the Skills section.
  2. Tap Edit.

You’ll see your organization’s skill bank. A skill bank is a list of skills your organization tracks.

To add skills from the skill bank:

  1. Select each skill that applies to you.
  2. Tap the number to the right of the skill to adjust your proficiency, if needed.

To add a skill that is not in the skill bank:

  1. Scroll to Additional Skills.
  2. Tap Create Additional Skill.
  3. Type the skill name.
  4. Tap Create.
  5. Adjust your proficiency, if needed.

Mobile eSignature

How Do I Save an eSignature on Mobile?

You can save an eSignature from your mobile profile. This is useful if your Administrator allows saved signatures for eSignature actions.

To save a signature or initials:

  1. Open your profile.
  2. Scroll near the bottom of the page.
  3. Tap Signature or Initials.
  4. Sign or write your initials on the line.
  5. Tap Done.
  6. Tap Clear if you want to start over.

OnBoard ID and Password

Your OnBoard ID is the email address you use to sign in to your OnBoard account.

Can I Change My OnBoard ID or Password on Mobile?

No, you cannot change your OnBoard ID or password in the mobile app. Sign in to OnBoard from a web browser and update them from Profile & Settings.

Third-Party Sign In

Can I Link a Google or Microsoft Account on Mobile?

Some users may be able to link a Google or Microsoft account for signing in to OnBoard. Third-party sign-in options must first be managed from OnBoard in a web browser.
 
Once linked, users will be able to sign in with Google or Microsofts account after entering there email address on the OnBoard login screen.

Settings Overview

What Settings are Available in the Mobile App?

Tap Settings to manage account and device options in the OnBoard mobile app.

Some options may not appear on every device. For example, Touch ID or Face ID settings only appear on devices that support biometric sign-in.

Biometric sign-in means using a fingerprint or facial recognition to sign in.

Email Notifications

How Do I Enable Email Notifications on Mobile?

Turn on Email Notifications if you want to receive OnBoard notifications by email in addition to viewing them in the OnBoard Notifications panel.
 
We recommend keeping email notifications turned on so you receive important updates from your organization.
 
If email notifications are turned off:
  • You may not receive emails for meetings, announcements, actions, resources, messages, and more.
  • Password reset emails may still be delivered.
  • Calendar invitation emails from OnBoard Calendar Integration may still be delivered.
  • This setting does not affect push notifications for the mobile or tablet apps.

Touch ID and Face ID

How Do I Enable Touch ID or Face ID?

Touch ID uses your fingerprint to sign in.
Face ID uses facial recognition to sign in.

When Touch ID or Face ID is enabled, OnBoard can use your device’s biometric sign-in feature to help you log in.

Security PIN

How Do I Enable or Change my PIN?

A PIN is a personal identification number used to help sign in.

When PIN sign-in is enabled, you can use a PIN code to access OnBoard on your device.

In mobile settings, you may be able to:

  • Enable a PIN
  • Create a PIN
  • Change your PIN

Two-Factor Authentication

How Do I Enable Two-Factor Authentication on Mobile?

Two-factor authentication adds another layer of security to your OnBoard account.

When it is enabled, signing in requires:

  1. Your OnBoard username and password.
  2. A second verification code sent by email, text message, or another approved method.

Offline Data

How Do I View or Clear Stored Offline Data?

Meetings saved for offline access appear in the stored offline data list.

Offline access lets you view selected meeting materials on your device when you do not have an internet connection.

To remove stored offline data:

  1. Open mobile settings.
  2. Find the offline data list.
  3. Tap Edit in the upper-right corner.
  4. Delete any items you no longer need.

Clearing offline data can help free storage space on your device.

Cellular Data Auto-Download

How Do I Control Auto-Downloads over Cellular Data?

If your mobile device has cellular data, you can choose whether OnBoard automatically downloads board books when you are not connected to Wi-Fi.

Cellular data means internet access through your mobile carrier.
Wi-Fi means internet access through a wireless network, often at home, work, or a public location.

When Allow Auto-Download over Cellular Data is turned on:

  • Meeting books can automatically download using cellular data.

When it is turned off:

  • Meeting books only auto-download when connected to Wi-Fi.

If your cellular plan has a data limit, you may want to keep this setting turned off.

Date and Time Format

How Does Date and Time Format Work on Mobile?

The OnBoard mobile and tablet apps use your device’s date and time settings.
 
If dates or times do not appear in the format you expect, check your device settings. Locale settings changed in the OnBoard web application do not change the date and time format used by the mobile or tablet apps.

How do I open my profile in the OnBoard mobile app?

  • On a tablet, tap Profile and Settings in the navigation panel and select your profile. On a phone, tap the More icon, then tap your profile.

How do I view another user’s profile in the mobile app?

  • Open the Directory and select the user’s profile. On a phone, tap the More icon, then tap Directory.

What profile information can I view in the mobile app?

  • Depending on your permissions and organization settings, profiles may show name, employment information, contact information, demographic information, groups, roles and terms, biography, and social media links.

Can I edit my profile from the mobile app?

  • Yes. You can edit your own profile from the mobile app by opening your profile and tapping the edit option for the section you want to update.

Can Organization-Wide Admins edit user profiles in the mobile app?

  • Yes. Organization-Wide Admins may be able to edit other users’ profiles from the mobile app.

How do I report skills in the mobile app?

  • Open your profile, scroll to the Skills section, and tap Edit. Select the skills that apply to you, adjust your proficiency level if needed, and tap Save Changes.

Can I add a skill that is not listed in my organization’s skill bank?

  • Yes. In the Additional Skills section, tap Create Additional Skill, enter the skill name, tap Create, adjust your proficiency if needed, and save your changes.

Can I save an eSignature from the mobile app?

  • Yes. Open your profile, scroll to the signature section, and tap Signature or Initials. Sign on the line, tap Done, and save your changes.

Why do some mobile settings not appear on my device?

  • Some settings only appear if your device supports them. For example, Touch ID and Face ID settings only appear on devices with supported biometric features.

How does auto-download over cellular data work?

  • When this setting is turned on, board books can automatically download while your device is using cellular data. When it is turned off, board books only auto-download while connected to Wi-Fi.

How do I clear stored offline data?

  • Open mobile Settings, go to the stored offline data section, tap Edit, and delete any meetings you no longer need saved on your device.

Can I enable email notifications from the mobile app?

  • Yes. Turn on Enable Email Notifications if you want to receive OnBoard email notifications in addition to viewing alerts in the Notifications panel.
