Creating, Managing, and Sharing Annotations (Mobile)

Annotations in OnBoard allow you to mark up your Meeting Book with notes, highlights, and drawings. These tools help you collaborate, organize thoughts, and share insights with other meeting participants.

What Are Annotations in OnBoard?

Annotations are notes you add directly on pages in your Meeting Book. They help you mark important content, add comments, and prepare for meetings. Your changes sync across your devices when you’re signed in to the same OnBoard account.

Available Annotation Tools

  • Highlight — Emphasize text with color
  • Underline / Squiggly Underline — Draw a straight or wavy line under text
  • Freehand (Pen) — Write or draw on the page
  • Freehand Highlight — Highlight using a freehand stroke
  • Text (T) — Type anywhere on the page
  • Note (Comment Bubble) — Add a sticky-note style comment for longer text

Where Do I Find the Annotation Toolbar?

  1. Open the Meeting Book in the OnBoard app.
  2. The annotation tools appear along the bottom of the screen on mobile and tablet.

  1. Tap any tool (Highlight, Underline, Pen, Text, Note) to start marking up the page.
  2. The annotation toolbar appears on the right side; drag it left or right to position it.

  1. Navigate edits with the Undo and Redo buttons in the lower left.

How Do I Add Annotations?

Freehand Notes (Pen)

  1. Tap the Pen tool.
  2. Tap the color circle to set color, thickness, and opacity.
  3. Draw directly on the page.
  4. Tap the checkmark to save.

Highlights and Underlines (H)

  1. Tap H to choose Highlight, Underline, or Squiggly Underline.
    • If one of the Underline options is selected, the H will become a U.
  2. Tap the color circle to set color and opacity.
  3. Drag your finger across the page to mark text.
  4. Tap the checkmark to save.

Typed Text (A)

  1. Tap the Text (A) tool.
  2. Choose your text color.
  3. Tap the page and start typing.
  4. Tap the checkmark to save.

Notes (Comment Bubble)

  1. Tap anywhere on the page to open the note editor.
  2. Type your longer note; tap Save.

How Do I Hide or Show My Annotations?

  • Hide: Tap My AnnotationsHide Annotations to temporarily hide your notes while sharing your screen or presenting.

  • Show: Return to My Annotations to make them visible again.

Note: By default your annotations are private to you, unless you choose to share them.

How Do I Edit, Format, or Delete an Annotation?

  1. Tap any existing annotation on the page.
  2. Choose Edit (to change text), Style/Format (to adjust color, opacity, thickness), or Delete.
  3. Your changes save/sync automatically.

How Do I Share Annotations With Others?

Prerequisite: Annotation sharing must be enabled by your organization or meeting admins.

  1. Open the annotation you want to share.
  2. Tap Sharing.
  3. Select one or more meeting invitees to share with.
  4. Tap Save. The shared annotation appears in those invitees’ Meeting Books exactly as you created it, and they receive a notification.

How Do I View Annotations Shared With Me?

  • Tap My AnnotationsShared Annotations to see items others shared.
  • Tap All Annotations to view yours + shared together.

How Do I Share or Export a Version of the Meeting Book (With or Without Annotations)?

  1. If downloads/export are enabled, tap the Share icon (top left).
  2. The Annotations that are visible on screen at the moment you export your book, will be included in the export.
    • For example: if you do not want your shared or private notes included, select Hide Annotations in the annotations view menu before exporting.

What Happens if a Document Is Updated?

If a Meeting Book or resource document is updated (for example, via Microsoft 365 integration), OnBoard shows a banner. Your annotations keep their position relative to the content, and you can move or edit them after the update if needed.

FAQs

Can other people see my private annotations?

  • No. Your annotations are private by default and only become visible to others if you choose to share them with specific invitees.

Why don’t I see the option to share annotations?

  • Sharing may be turned off for your organization or for that meeting. Check with your admin or meeting organizer to confirm that annotation sharing is enabled.

Will I be notified when someone shares an annotation with me?

  • Yes. When another user shares an annotation with you, you should receive a notification and the annotation will appear in your Meeting Book.
