OnBoard App Login and Security Setup

This article explains how to log in to the OnBoard mobile app and configure security features, including a Security PIN, biometric login (Touch ID / Face ID), and Two-Factor Authentication (2FA).
These features help you access board materials quickly while keeping your account secure.

Logging Into the OnBoard App

What happens when you first open the OnBoard app?

When you first open the OnBoard app, you will see a login screen prompting you to enter your:
  • OnBoard ID (email address)
  • Password
Depending on your organization’s security settings, you may be prompted to:
  • Enable Touch ID or Face ID
  • Create a Security PIN Code
  • Enter a Two-Factor Authentication (2FA) code

Touch ID and Face ID Setup

What are Touch ID and Face ID?

Touch ID (fingerprint recognition) and Face ID (facial recognition) are biometric authentication methods that allow you to log in securely without entering a PIN or password.

What if your device does not support biometric login?

If your device does not support Touch ID or Face ID—or if you choose not to use it—you can log in using a Security PIN Code instead.

How do you enable Touch ID or Face ID?

Step 1: Ensure your fingerprint or face is registered on your device

To use Touch ID or Face ID, you must first enable and configure it in your device settings.
  1. Open the Settings app on your device
  2. Navigate to Touch ID, Face ID, or Biometrics settings
  3. Ensure the feature is enabled
  4. Register your fingerprint or facial profile

Step 2: How do you enable biometrics on your device?

To enable biometrics, you must first configure it on your device:
  1. Open your device Settings
  2. Navigate to Touch ID / Face ID / Biometrics
  3. Register your fingerprint or face

Step 3: How do you turn on biometrics in OnBoard?

Once your device is configured:
  1. Log into OnBoard
  2. Tap your User Icon to open Profile & Settings

  • Open the OnBoard app
  • Authenticate using your fingerprint or face

Security PIN Code Setup

What is a Security PIN Code?

A Security PIN Code is a short numeric code that allows you to log in quickly without entering your full email and password every time.

How do you set up your PIN Code?

To set up your PIN Code:
  1. Log in using your email and password
  2. Follow the on-screen prompts to create your PIN
  3. Confirm your PIN code
Choose a PIN you can remember but that others cannot easily guess.

Trusting the Device

After confirming your PIN, you will be asked to trust your device.

What does it mean to trust your device?

If you trust your device:
  • You remain logged in for up to 120 days of inactivity
If you do not trust your device:
  • You will be logged out after 60 minutes of inactivity
This helps ensure your data remains secure, especially on shared devices.

What happens if you log out manually?

If you manually log out:
  • You must log in again using your email and password
  • You will need to set up your Touch ID, Face ID, or PIN again

Two-Factor Authentication (2FA)

What is Two-Factor Authentication (2FA)?

Two-Factor Authentication (2FA) adds a second layer of security to your account.
When enabled, you must provide:
  1. Your OnBoard ID and password
  2. A one-time verification code
The code is sent via:
  • Email (default)
  • SMS (text message)

What does enabling 2FA do?

Enabling 2FA creates a layered defense that makes it much harder for unauthorized users to access your account.

How do you access the 2FA settings?

To access 2FA settings:
  1. Tap your User Icon
  2. Open the Profile & Settings Menu
  3. On some devices, tap the (...) icon in the bottom-right

How do you turn on 2FA?

To enable 2FA:
  1. Locate the Two-Factor Authentication setting
  2. Toggle the switch ON
    • By default, your verification code will be sent via email

How do you set up SMS (text messaging) for codes?

To receive codes via SMS instead of email:
  1. Tap the Phone Number section
  2. Enter your mobile number
  3. Wait for the verification code sent via SMS 
  4. Enter the code into the field provided

What happens after enabling 2FA?

After enabling 2FA:
  • Each login requires:
    • Your password
    • A verification code
  • You can choose to receive your code via:
    • Email
    • SMS (if configured)

Important notes about 2FA?

  • Email is the default delivery method
  • SMS requires a verified phone number
  • 2FA availability depends on your organization’s subscription
  • Trusted devices can remain logged in for up to 120 days of inactivity

How does the login process work with 2FA enabled?

When 2FA is enabled, the login process includes an additional verification step.

How do you log in with 2FA?

  1. Enter your OnBoard ID and password
  2. Choose how to receive your code (Email or SMS)
  3. Retrieve the code from your device
  4. Enter the code to complete login

 

Frequently Asked Questions (FAQs)

What should I do if my device does not support Touch ID or Face ID?
If your device does not support biometric login, you can use a Security PIN Code instead.
Can I use both biometric login and a PIN code?
No. If Touch ID or Face ID is enabled, it replaces the PIN code.
Do I need internet access to use my PIN?
No. You can use your PIN to access downloaded materials in Offline Mode.
How long will I stay logged in?
  • Trusted device: up to 120 days of inactivity
  • Untrusted device: 60 minutes of inactivity
  • Manual logout: login required immediately
What should I do if I don’t receive my 2FA code?
  • Check your spam or junk email folder
  • Confirm your phone number is correct
  • Try switching delivery methods
Why don’t I see the 2FA option?
