Single Sign-On (SSO) allows you to log into OnBoard using your organization’s identity provider (IdP) credentials. This guide explains how to sign in when SSO is enforced or optional, and how it works on mobile devices.

Single Sign-On (SSO) Overview

What is Single Sign-On (SSO)?

Single Sign-On (SSO) is a secure login method that lets you use one set of credentials from your Identity Provider (IdP) (such as OneLogin or Okta) to access multiple applications, including OnBoard.
The SSO sign-in experience is consistent across:
  • Web browsers
  • Mobile devices
  • Tablets

Signing In When SSO Is Required

What should I do before signing in with SSO?

Before signing in with SSO, new users must activate their account.
  1. Open your OnBoard invitation email.
  2. Follow the steps in the Accepting Your OnBoard Invitation article to activate your account.

How do I sign in when SSO is required?

To sign in when SSO is required, follow these steps:

  1. Go to the OnBoard sign-in page.
  2. Enter your email address.
  3. Click Continue.
    1. If SSO is enforced, it will be the only sign-in option available.

  4. Click the SSO button:
    • If you are already logged into your identity provider, you will be signed in automatically. 
    • If not, you will be prompted to enter your SSO credentials.

How do I access multiple organizations with SSO?

If you belong to multiple organizations, you can access an SSO-required organization in two ways:
 

Option 1: Sign in with SSO directly

  1. Go to the OnBoard sign-in page.
  2. Enter your email and click Continue.
  3. Click SSO and sign in with your organization’s credentials.

Option 2: Sign in to OnBoard, then use SSO

  1. Sign in with your OnBoard ID (email and password), if available.
  2. On the Organization Selection screen, locate the organization you want to access. 
  3. On that organization’s tile, click Sign in with SSO
  4. Enter your SSO credentials to complete access.

Note: You can use your OnBoard ID for organizations that allow it, but SSO must be used for any organization that requires it.

Signing In When SSO Is Not Required

How do I sign in when SSO is not required?

If your organization uses SSO but does not require it:
  • After entering your email:
    • Select Sign in with OnBoard ID (email and password), or
    • Select Sign in with SSO

Signing In from Your Identity Provider Dashboard

Can I log in directly from my identity provider?

Yes, you can log in directly from your identity provider dashboard.
  1. Log in to your SSO provider (for example, OneLogin).
  2. Click the OnBoard application.
    • You will be automatically redirected into your OnBoard organization.

Alternative Email for Notifications

Can I use a different email address for notifications?

Yes, you can use an alternative email address for notifications.

Note: Alternative email addresses will not receive:

  • Account invitation emails
  • Password reset emails
  • Calendar integration emails

What happens if I am already logged into my identity provider?

If you are already logged into your identity provider, you will be signed into OnBoard automatically after clicking the SSO button.

Can I still use my email and password if my organization has SSO?

If SSO is optional, you can use either:

  • Your OnBoard ID (email and password), or
  • SSO

If SSO is required, you must use SSO for that organization.

Do I need to activate my account before using SSO?

Yes. You must activate your account first using your invitation email before signing in with SSO.

Can I access multiple organizations with one login?

Yes. If you belong to multiple organizations:

  • You can switch between them.
  • You must use SSO for organizations where it is required.

Does SSO work on mobile devices?

Yes. The SSO login experience is the same across:

  • Desktop browsers
  • Mobile devices
  • Tablets

Why am I not seeing the SSO option?

You may not see the SSO option if:

  • Your organization does not use SSO, or
  • SSO is not enabled for your account

Who should I contact if I have trouble logging in with SSO?

If you experience issues:

  • Contact your organization’s IT team or system administrator.
  • They manage your identity provider and SSO settings.
