OnBoard’s Docusign integration lets Admins and Creators create, send, manage, and track Docusign envelopes directly in OnBoard.

A Docusign envelope is a package of documents, recipients, signing fields, messages, and settings that is sent for electronic signature. An electronic signature, or eSignature, is a digital way for someone to sign a document.

Docusign Account Activation

How do you activate your Docusign account from Profile Settings?

You can activate your Docusign account from Profile Settings before creating Docusign eSignatures in OnBoard.

Admins and Creators must activate a Docusign account before they can create Docusign documents for eSignature.

  1. In OnBoard, select your name or profile image in the bottom-left corner of the screen.
  2. Select Profile.
  3. Select the Settings tab at the top of the screen.
  4. Scroll to Docusign Integration.
    • Select Activate Account.
  1. Enter your email address.
  2. Select Next.
  3. Check your email to continue the activation process.
  1. In your email inbox, open the Account Activation email from Docusign.  
  2. Select ACTIVATE.
  1. After selecting ACTIVATE, you are redirected to Docusign in your web browser.
  2. Complete one of the following options:
    • If you do not have a Docusign account, select Create Account and follow the prompts to set up your password.
    • If you already have a Docusign account, enter your existing password to sign in.
  3. Follow the on-screen instructions to finish setup.
  1. After you create or connect your account, you will land on the Docusign welcome page.
  2. Return to OnBoard in your web browser.

How Do You Grant OnBoard Consent to Access Your Docusign Account?

You can grant OnBoard consent after you activate or connect your Docusign account.

Granting consent allows OnBoard to connect to your Docusign account and create or manage envelopes through the integration.

  1. In OnBoard, go back to your Profile Settings.
  2. In the Docusign Integration section, select Grant Consent.
  3. On the next screen, select Allow Access.
  1. Return to your Profile Settings.
  2. Confirm that the Docusign activation and consent process is complete.

How Do You Activate Your Docusign Account While Creating a New Docusign eSignature?

You can activate your Docusign account while creating a new Docusign eSignature if you have not already activated it.

  1. Start creating a new Docusign eSignature in OnBoard.
  2. In the Docusign Integration panel, select Activate Account.
  3. Follow the activation steps in the section above.

How Do You Create a New Docusign eSignature?

You can create a new Docusign eSignature from the Actions area in OnBoard.

  1. In the left navigation panel, select Actions.
  2. Select Create New.
  3. Select eSignature.
  4. Select Create eSignature.
  5. Select DocuSign eSignature.
  6. Select Create eSignature.

How Do You Add Docusign eSignature Details?

You can add Docusign eSignature details by entering a title, optional description, and saving your changes.

  1. Enter a Title for your Docusign eSignature.
  2. Optional: Enter a Description.
  3. Select Save Changes.

How Do You Add Docusign Documents?

You can add documents and recipients in OnBoard before creating the Docusign envelope.

  1. Select Documents & Recipients.
  1. Add documents in one of these ways:
    • Drag and drop files into the Drop files here box.
    • Select Add Documents to choose files from your computer.
    • Select Add Documents to choose files from OnBoard Resources.

Supported file types include:

  • PDF, which stands for Portable Document Format.
  • Microsoft Word documents.
  • Microsoft Excel documents.
  • Microsoft PowerPoint documents.

 How Do You Add Docusign Recipients?

  1. Select Documents & Recipients.
  2. Select Add Recipients.
  3. Choose the recipients who should receive the document.
  4. Select Save Changes.
NOTE: After you select Create Envelope and enter the Docusign embedded experience, you can no longer add documents from OnBoard or manage recipients within OnBoard. You can still manage documents and recipients directly in the Docusign envelope. It is not required to add them in OnBoard before creating the envelope.

Envelope Creation and Management

How Do You Create the Docusign Envelope?

You can create the Docusign envelope after adding the Docusign details, documents, and recipients.

  1. Select Create Envelope.
  2. OnBoard opens the Docusign embedded experience.
  3. Continue setting up the envelope in Docusign.

How Do You Add or Manage Documents in the Docusign Envelope?

You can add or manage documents in the Docusign envelope after selecting Create Envelope.

Documents added in OnBoard appear at the top of the Docusign screen.

  1. To add more documents, do one of the following:
    • Select Upload.
    • Drag and drop files into the upload area.
  2. To manage a document, select the three-dot menu on the document.

How Do You Add and Manage Recipients in the Docusign Envelope?

You can add and manage recipients in the Docusign envelope after selecting Create Envelope.

Recipients added in OnBoard appear under Add recipients.

  1. To add another recipient, select Add Recipient.
  2. Enter the recipient’s Name.
  3. Enter the recipient’s Email.
NOTE: Recipients do not need to be members of your OnBoard organization.
  1. Select the Needs to Sign dropdown to choose the recipient type:
    • Needs to Sign: The recipient must complete required fields, such as signature, initials, or date.
    • Receives a Copy: The recipient receives a copy and does not need to take further action.
  1. Select the Customize dropdown to add recipient-specific options:
    • Add access code: Enter a code that only you and the recipient know.
    • Add a private message: Add a personal note for that recipient.
  2. To remove a recipient, select the Trash Can icon.

How Do You Set the Signing Order?

You can set the signing order to control the order in which recipients receive and sign the envelope.

  1. Select the Set signing order checkbox.
  2. Review the recipient order.
  3. Select View to preview the signing order.

How Do You Add an Email Subject and Message?

You can add an email subject and message before sending the Docusign envelope.

  1. Customize the email Subject line.
  2. Add a custom email message.
  3. Optional: Add up to 10,000 characters in the message.
  4. Optional: Select Custom email and language for each recipient if each recipient needs a different email or language.
NOTE: When an envelope is viewed in the Docusign portal, the envelope title appears as the email subject line.

How Do You Enable Automatic Reminders?

You can enable automatic reminders in Advanced Options and manage reminder frequency in the Add Message section.

By default, automatic reminders are disabled.

  1. Open Advanced Options.
  2. Turn on automatic reminders.
  1. Return to the Add Message section if needed.
  2. Under the Frequency of reminders dropdown, choose how often reminder emails should be sent to recipients.

How Do You Add Fields to the Document?

You can add fields after managing the documents and recipients.

Fields are items recipients must complete, such as signatures, initials, dates, or other standard Docusign fields.

  1. Select Next.
  1. Use the Recipient dropdown to choose which recipient you are adding fields for.
  2. Select a field from the Standard Fields list.
  3. Place the field on the document.
  1. Select a field to open formatting options.
  2. Use the formatting panel on the right to adjust the field.
  3. Use the Recipient dropdown if you need to change which recipient the field applies to.

How Do You Preview the Envelope Before Sending?

You can preview the envelope before sending it to recipients.

  1. Select PREVIEW.
  1. Use the Viewing as dropdown to preview the document as different recipients.
  2. Use the device icons at the top of the screen to switch between device views.
  3. Select Start to walk through the signing process as the recipient.

Advanced Envelope Options

How Do You Open Advanced Options?

You can open Advanced Options to manage recipient privileges, reminders, expiration, and mobile-friendly settings.

  1. Select ADVANCED OPTIONS.
  2. Review the available settings.
  3. Update the settings as needed before sending the envelope.

How Do You Manage Recipient Privileges?

You can manage recipient privileges by selecting or clearing the available checkboxes.

Recipient privileges control how recipients can complete or reassign signing.

Available options include:

  • Recipients can sign on paper: Allows recipients to choose paper signing instead of electronic signing. This controls the initial setting for templates and for envelopes that are not created from templates. If an envelope is created from a template, the template’s Allow recipients to sign on paper setting is used. This account setting does not control envelopes created through the eSignature API. API stands for Application Programming Interface, which is a way software systems connect to each other.
  • Recipients can change signing responsibility or assign a delegate: Allows the signer to transfer signing responsibility to another person or have the envelope signed by a delegate.

How Do You Manage Automatic Reminders in Advanced Options?

You can manage automatic reminders in Advanced Options by turning reminders on or off.

  1. Find the Turn on auto reminders toggle.
  2. Turn the toggle on or off.
  3. If reminders are enabled, manage reminder timing in the Add Message section.

How Do You Set Envelope Expiration?

You can set envelope expiration to control how many days recipients have to sign before the envelope expires.

You can also choose when recipients are alerted before expiration.

  1. In Expiration, choose how many days recipients have to sign.
  2. Choose when alerts should be sent before the envelope expires.
  3. Use either of these options:
    • Type a custom number of days.
    • Select a preset number of days from the dropdown menu.

How Do You Keep the Envelope Mobile-Friendly?

You can keep the envelope mobile-friendly by leaving the mobile viewing option selected.

  1. Find Allow recipients to view document more easily on mobile devices.
  2. Keep the checkbox selected.

This helps recipients view the documents more easily on mobile devices.

Envelope Sending

How Do You Send the Docusign Envelope?

You can send the Docusign envelope after all recipients and fields have been added.

  1. Confirm that all recipients have been added.
  2. Confirm that all required fields have been placed.
  3. Select Send or Send Now.

If a signing order was set, only the first recipient or first group of recipients receives the email first. Additional recipients receive the Docusign email after the previous recipients finish all required fields.

Envelope Corrections and Voiding

How Do You Correct an Envelope?

You can correct an envelope from the Docusign view in OnBoard.

Correcting an envelope lets you update documents, fields, settings, recipients, or other envelope details.

  1. Open the Docusign in OnBoard.
  2. Select Manage Envelope.
  3. Select Correct Envelope from the dropdown.
  1. Make the needed changes. You can:
    • Add documents.
    • Remove documents.
    • Edit documents.
    • Update fields.
    • Manage settings.
    • Resend the Docusign.
  2. On the document field input page, select Correct when done.

How Do You Discard Changes While Correcting an Envelope?

You can discard changes if you do not want to apply updates to the envelope.

  1. Select DISCARD CHANGES at the top of the documents, recipients, and add message page.

Or:

  1. Select DISCARD CHANGES from the Actions menu on the field input page.
NOTE: When correcting an envelope, the Sender must select either Correct or Discard Changes to finish the update. If neither option is selected, the envelope remains in Correcting status, and recipients cannot sign.

How Do You Void an Envelope?

You can void an envelope from the Docusign view in OnBoard.

Voiding an envelope stops the signing process and makes the envelope unavailable for signing.

  1. Open the Docusign in OnBoard.
  2. Select Manage Envelope.
  3. Select Void Envelope from the dropdown.
  1. Enter a reason for voiding the envelope.
  2. Select Void Envelope to confirm.
  1. After the envelope is voided:
    • The Docusign status in OnBoard changes from Sent to Voided.
    • The envelope is no longer available for signing.
    • The Docusign moves to Closed in the OnBoard Action List.

Recipient Signing Experience

How Do Recipients Sign From Email?

Recipients can sign from the Docusign email they receive after the envelope is sent.

  1. Open the email from Docusign.
  2. Confirm the sender name in the email.
  3. Select Review Document.
  4. Consent to use electronic records and signatures.
  5. Select Continue.

Recipients may also see these options:

  • Finish Later
  • Assign to Someone Else, if delegation is allowed.
  • Decline to Sign
  • Print & Sign, if signing on paper is allowed.

Signing the Document

From the above screen:

  1. Review the document.
  2. Manually locate each required field.

Or:

  1. Select Start to jump to the first required field.
  2. Complete all required fields.
  3. Select Finish.

Viewing Envelopes in OnBoard

How Do Recipients Find Docusign Envelopes Awaiting Their Response?

Recipients can find Docusign envelopes awaiting their response on the OnBoard Homepage or in the Actions list.

On the Homepage:

  1. Find the Awaiting Response panel.
  2. Select the Docusign envelope to open it.

In the Actions list:

  1. Select Actions.
  2. Filter Actions.
  3. Select Docusign eSignatures.
  4. Find envelopes under Awaiting Your Response.

How Do Recipients Resend the Email or Sign in to Docusign?

Recipients can resend the Docusign email or sign in to Docusign from the envelope view in OnBoard.

When viewing a Docusign envelope:

  • Select Resend Email to resend the Docusign email with the signing link.
  • Select Sign in to Docusign to log in to Docusign directly and view or sign the document.

Completed Documents

How Do You Download Completed Documents in OnBoard?

You can download completed documents after all signers have signed the envelope.

  1. Open the completed Docusign envelope in OnBoard.
  2. Select Download Documents.

How Do You Export Completed Documents to Resources?

You can export completed envelopes directly to an OnBoard Resource folder.

Resources are OnBoard’s document storage area for files and folders.

  1. Open the completed envelope.
  2. Select Export To Resources.
  3. Select a destination folder.
  4. Select Select Destination.

How do senders view completed documents from email?

Senders can view completed documents from the Docusign completion email.

  1. Open the email from Docusign.
  2. Select VIEW COMPLETED DOCUMENT.
  3. If prompted, sign in using the Docusign email address and password linked in OnBoard.
  4. View the completed document.
  5. Use the download or print icons to export the signed document.

Docusign Statuses

How Do Senders Track Envelope and Recipient Status in OnBoard?

Senders can track the status of Docusign envelopes and recipients in OnBoard.

Statuses show where the envelope or recipient is in the signing process.

What Do Envelope Statuses Mean?

Envelope statuses show the current progress of the full Docusign envelope.

Envelope Status Meaning
Completed The envelope has been completed by all recipients.
Created The envelope is in draft state and has not been sent for signing.
Declined One recipient declined to sign the envelope.
Deleted The sender manually deleted the envelope on the Docusign website.
Delivered All recipients have viewed the documents in the envelope through the Docusign signing website. This does not mean the email was delivered.
Sent An email notification with a link to the envelope has been sent to at least one recipient. The envelope remains in this state until all recipients have viewed it at least once.
Signed All recipients have signed the envelope. This is a temporary state during processing before the envelope moves to Completed.
Voided The sender voided the envelope, or the envelope expired. The void reason shows whether it was manually voided or expired.

What Do Recipient Statuses Mean?

Recipient statuses show the current progress for each recipient in the envelope.

Recipient Status Meaning
Autoresponded The recipient’s email system auto-responded to the email from Docusign. This status appears in the Docusign web app, also called the Docusign console.
Completed The recipient has completed all required actions for the envelope.
Declined The recipient declined to sign the documents in the envelope.
Delivered The recipient viewed the documents through the Docusign signing website. This does not mean the email was delivered.
Pending The recipient’s envelope has not been sent.
Sent The recipient has been sent an email because it is their turn to sign.
Signed The recipient completed all required fields, such as signatures or entered data. This is a temporary state before the recipient status updates to Completed.

Envelope Resending

How Are Automatic Reminders Sent?

Automatic reminders are sent when auto reminders have been enabled for the envelope.

If auto reminders were set, Docusign sends reminder emails to recipients on the selected reminder schedule.

How Do Senders Immediately Resend an Envelope Email?

Senders can immediately resend an envelope email from the Docusign portal.

  1. Navigate to the Docusign portal used by your organization.
  2. Enter your login credentials.
  1. If your email was already associated with a Docusign account before you activated Docusign in OnBoard, you may need to switch accounts.
  2. To switch accounts:
    • Select your initials or image in the top-right corner.
    • Select Switch Account.
  1. When viewing your OnBoard Docusign portal, locate the envelope.
  2. Select Resend.

This resends the envelope with your original message.

NOTE: The envelope name will be the subject of the email message created in OnBoard.

OnBoard Action List Statuses

What Does Draft Mean in the OnBoard Action List?

Draft means the Docusign eSignature has not been sent to recipients yet.

Docusign eSignatures appear as Drafts in the OnBoard Action List before they are sent.

Docusign eSignatures in Draft status can be deleted.

  1. Select the three-dot menu.
  2. Select Delete.
NOTE: Only Docusign eSignatures in Draft status can be deleted.

What Does Open Mean in the OnBoard Action List?

Open means the envelope has been sent and is still waiting for all required recipient actions.

Docusign envelopes appear as Open in the OnBoard Action List after they are sent and before all recipients complete the required fields.

What Does Closed Mean in the OnBoard Action List?

Closed means the Docusign eSignature is no longer active in the OnBoard Action List.

A Docusign envelope appears as Closed after any of these events:

  • All recipients complete all fields in the envelope.
  • The sender voids the envelope.
  • The sender manually deletes the envelope in the Docusign portal.

Safari Docusign Experience

Why Does Docusign Open in a New Tab in Safari?

Docusign opens in a new tab in Safari because Safari’s default settings block cross-site tracking and pop-ups.

Cross-site tracking is when a browser limits how one website can interact with content from another website. A pop-up is a new browser window or tab that opens from a website.

Because of Safari’s default settings, when you create or manage envelopes in Safari, Docusign opens in a new browser tab.

How Do You Allow Docusign Pop-ups in Safari?

You can allow Docusign pop-ups in Safari when you see a blocked pop-up notification.

  1. Select Create Envelope or Manage Envelope in OnBoard.
  2. If Safari blocks the pop-up, find the pop-up blocker icon in Safari’s address bar.
  3. Select the pop-up blocker icon.
  4. Docusign opens in a new tab.

How Do You Always Allow Pop-ups from OnBoard in Safari?

You can always allow pop-ups from OnBoard in Safari so you do not need to repeat this step each time.

  1. In the Safari menu bar, select Safari.
  2. Select Settings or Preferences.
  3. Go to the Websites tab.
  4. In the left menu, select Pop-up Windows.
  5. Find app.onboardmeetings.com in the list.
  6. Change the setting to Allow.

This setting helps Docusign pop-ups open correctly when you use OnBoard in Safari.

FAQs

Does the email used for my OnBoard Docusign account need to match my OnBoard ID email?

  • No. The email used for your OnBoard Docusign account does not need to match your OnBoard ID email.
  • You can create or connect your OnBoard Docusign account with a different email address than the one used for your OnBoard ID.

Can I use the same email address to link Docusign to multiple OnBoard organizations?

  • Yes. You can use the same email address to link Docusign to more than one OnBoard organization.
  • If you activate Docusign with the same email address in multiple OnBoard organizations, Docusign creates a separate account for that email address in the Docusign portal.

Can downloads of completed documents be disabled for recipients?

  • No. Downloads of completed documents cannot be disabled for recipients.
  • Under the ESIGN Act and UETA Act, electronic signature records must be retainable and reproducible for reference. ESIGN stands for Electronic Signatures in Global and National Commerce. UETA stands for Uniform Electronic Transactions Act. All parties are entitled to a copy of the signed contract.

Can an envelope be reassigned to another Sender in an OnBoard organization?

  • Yes. An envelope can be reassigned to another Sender in certain circumstances.
  • To request reassignment, submit a support ticket. Each request is reviewed on a case-by-case basis.

Can recipients sign if they are not members of my OnBoard organization?

  • Yes. Recipients can sign even if they are not members of your OnBoard organization.
  • When adding recipients in Docusign, only the recipient’s name and email are required.

Can I add documents or recipients in OnBoard after selecting Create Envelope?

  • No. After you select Create Envelope and enter the Docusign embedded experience, you cannot add documents from OnBoard or manage recipients within OnBoard.
  • You can still add or manage documents and recipients directly in the Docusign envelope.

What happens if I correct an envelope but do not select Correct or Discard Changes?

  • If you correct an envelope but do not select Correct or Discard Changes, the envelope remains in Correcting status.
  • Recipients cannot sign the envelope until the Sender selects either Correct or Discard Changes.

Can I resend a Docusign envelope email immediately?

  • Yes. You can resend a Docusign envelope email immediately from the Docusign portal.
  • If automatic reminders are enabled, Docusign sends reminders based on the selected schedule. If you need to resend right away, use the Resend option in the Docusign portal.

Why does the Docusign email subject line match the envelope title?

  • The Docusign email subject line matches the envelope title because the envelope title appears as the subject line in the Docusign portal.
  • When creating the Docusign email message in OnBoard, choose a clear envelope title so recipients understand what they are being asked to sign.

Why does Safari open Docusign in a new tab?

  • Safari opens Docusign in a new tab because Safari blocks some cross-site tracking and pop-ups by default.
  • Allow pop-ups from app.onboardmeetings.com in Safari settings to help Docusign open correctly from OnBoard.
