OnBoard includes a built‑in calendar integration that allows meeting administrators to send calendar invites and track RSVPs directly within the platform.

OnBoard uses Cronofy, a third‑party calendar integration partner, to securely connect external calendars (such as Microsoft Outlook, Microsoft 365, Google Calendar, and Apple Calendar) with OnBoard. This integration allows invites to be sent and RSVP responses to flow back into OnBoard automatically.

Sending Calendar Invites

Who Can Send a Calendar Invite?

Each meeting in OnBoard has one or more Meeting Admins. Meeting Admins are the only users who can send calendar invites for that meeting.

How are Invites Sent?

For each meeting, invites can be sent from only one linked calendar.

This means:

  • Any Meeting Admin can send the invite
  • The invite is sent from one selected admin’s linked calendar
  • Only one calendar invite exists for the meeting to prevent duplicates

Why is Invite Sending Limited to One Calendar?

Limiting invites to one calendar helps:

  • Prevent invitees from receiving multiple invitations for the same meeting
  • Keep RSVP tracking clean and accurate
  • Ensure updates apply to a single event

Other Meeting Admins can still:

  • Add or remove invitees
  • Update meeting details (title, date, time, or location)
  • Trigger updates that notify invitees of changes

Collecting and Syncing RSVPs

Where are RSVPs Collected?

RSVPs are collected through the linked external calendar (for example, Outlook or Google Calendar).

How Do RSVPs Get into OnBoard?

Cronofy sends RSVP responses back into OnBoard automatically so that:

  • Attendance status is always visible in OnBoard
  • Invitees do not need to log into OnBoard to RSVP
  • Invitees do not need to link their own calendars

This reduces manual tracking and prevents confusion caused by managing RSVPs outside of OnBoard. 

Can Users Still RSVP Inside OnBoard?

Yes. Users can always RSVP directly within OnBoard if they prefer. The system records where the RSVP came from (calendar or OnBoard).

Updating Meeting Details and RSVP Behavior

What Happens When Meeting Details Change?

When a Meeting Admin updates any of the following Meeting Details:

  • Meeting title
  • Date
  • Time
  • Location
All RSVPs for those RSVPing via the calendar event will be reset to Needs Response.

OnBoard clearly shows:

  • The current RSVP status
  • Whether the response came from the calendar invite or inside OnBoard

How to RSVP and Add Meetings to a Calendar

Where Do I RSVP in OnBoard?

Access the meeting from the Meeting Calendar page.

On the Meeting Details page, locate the RSVP to Meeting button near the Open Book button.

When you click RSVP to Meeting, you will see four RSVP options:

  • Attending
  • Attending Remotely
  • Tentative
  • Not Attending

What Happens When I RSVP from the OnBoard Mobile App?

When RSVPing from the OnBoard mobile app:

  1. Tap RSVP from the Home page or a Meeting's Details page
  2. Choose an RSVP option
  3. Select Yes on the confirmation pop‑up
  4. The meeting is automatically added to the calendar associated with your device (for example, your iPhone calendar)

Can I Manually Add an Event to my Calendar?

Yes. From the Meeting Details page on the Web app:

  1. Click Download Calendar
  2. An ICS file (calendar event file) downloads to your computer
  3. Double‑click the file to open it in your default calendar app (such as Outlook or Apple Calendar)
  4. Save the event to receive reminders

You can also import the ICS file into Google Calendar.

FAQs

Do all meeting admins need to link a calendar?

  • No. Only one Meeting Admin needs to link a calendar to send invites. Other admins can still manage meeting updates.

Can invitees RSVP without logging into OnBoard?

  • Yes. Invitees can RSVP directly from their calendar invitation, and the response will sync back into OnBoard automatically.

Why did my RSVP reset to “Needs Response”?

  • If the meeting title, date, time, or location was updated, all RSVPs captured through the Calendar Integration are reset so invitees can reconfirm attendance.

Can I see whether an RSVP came from a calendar or from OnBoard?

  • Yes. OnBoard clearly shows the RSVP status and the source of the response.
Do meeting invitees need to link their own calendar to RSVP from the calendar invite?
  • No. Meeting invitees do not need to link their calendar to OnBoard to RSVP from the calendar event. Invitees can respond directly from the calendar invitation they receive (such as Outlook or Google Calendar), and their RSVP will automatically sync back into OnBoard through the Cronofy integration.
