Resource Permissions Best Practices Pinned

Did you know that OnBoard has unlimited Resource upload space?
With Resources, you can store and share documents with easy-to-update permissions that your members can access securely from anywhere.
Here are a few best practices that can help your organization elevate its use of Resources by making use of subfolders and permissions.
Setting up Folders for Different Groups/Committees
Adding folders in your Resource Library for each of your Groups (Committees, Boards, etc.) creates secure storage that other users or groups won't be able to see or interact with.
Once in your Resources, you can add folders for any of the Groups, Committees, Boards, Teams, etc. If you've created a Group for your set of users, use the Group to manage permissions for the folder. Any updates to the members of that Group will automatically carry over to the Resources folder created for them.
Setting the Group or user set as Admins on the specific folder will give them access to create their subfolders and be able to upload documents here directly.
After this, the users in the Group or Committee can add subfolders with different permissions for more granular control.
Setting up Permissioned Folders for Individual Members
It may also be useful to set up folders for individual users. This allows Administrators to add member-specific documents for the users to review, or it could allow users to upload documents to their personal folder that they can access anywhere from OnBoard!
You can create personalized folders for your user by setting the user as an Admin or the only Reader on a folder.
Setting the user as a Reader and adding an Admin for the user's folder will allow an Administrator to add documents for that user to be able to view and annotate. Or, you can set the user as an Administrator to the folder, allowing them to upload their own documents and add subfolders.
While adding folders for each user, it may be useful to set the user and at least one Organization Admin with Admin permissions to the folder in case any issues may arise or the user may need assistance.
