Annotations lost

One BOD member commented that he highlighted a few areas of a document to ask questions about - but when he closed out and reopened, his highlights were lost. How can we make sure those are not lost?

    Cody,

    There are several factors that could have attributed to the annotations not appearing. 

    1. Annotation Visibility

    Users can hide annotations from view. If Annotations are hidden, select Hide Annotations on the bottom left of the meeting book and select My Annotations to reveal the annotations. 

    2.  Annotations Were Not Saved Before Exiting

    Annotations need to be saved to the book to be viewed at a later time. When leaving the meeting book a prompt will appear letting you know if annotations have not been saved. 

    If you close the browser tab or select Leave in the prompt before the annotation is saved, the annotation will not be saved for viewing later. 

    3. Changes Were Made to the Meeting Book 

    Annotations live on the individual documents within the Meeting Book. If a document is removed and/or replaced in the Meeting Book, any annotations made on that document will be lost. 

    If it is available in your plan, we recommend utilizing the Microsoft 365 Integration to edit meeting documents instead of removing/replacing documents to avoid annotations being lost.
