Amending draft minutes

Kimberley Swift

Can a reviewer's amendments to minutes by "marked up" so that these can be seen by the person who drafted the minutes or other reviewers?

There currently is no "marked up" or tracked changes functionality in the OnBoard Minutes Builder tool. However, you have a couple of options.

Using Minutes Builder & Admin Only Notes for the Review Process

Instead of having minutes reviewers make their changes directly, they can suggest their changes by using an "Admin Only Note." Then, once all their recommendations are submitted, they can use "Send For Review" to notify you or any other Admins that their recommendations are listed in the minutes. Then you can go to the Minutes Builder tool, review their recommendations, and make the edits to minutes.

Using Resources & Microsoft Document Editing to Track Changes

Another option is to send the Word draft of the minutes to a resource folder by selecting "Add to Resources." Ensure that the reviewers are set as Admins of the resource folder and that the Microsoft 365 Integration is enabled in your organization's Feature Settings.

Once the Word document of the minutes is in Resources, any Admin of the folder can edit the document with Microsoft 365 by selecting "Edit with Microsoft Word" from the three-dotted menu on the document. Change from Editing mode to Reviewing mode and all changes will be tracked.
